Process & Documentation for Audits¶
An audit of data disposal asks three things: which method was used on each device, who performed it, and where the evidence is. InteSys's process is designed to answer all three — from the initial inventory to the per-serial certificate.

How it works: from pickup to certificate¶
- Inventory and scope — you tell us quantities, media types and equipment, and whether any items are for sale. We define the method for each group together.
- Proposal — you receive a proposal with scope, service pricing and, where applicable, asset buyback values.
- Secure on-site pickup — we collect the materials at your company, anywhere in Brazil, in sealed, identified containers with chain-of-custody records.
- Processing — every device is logged by serial number and processed with the contracted method: verified sanitization or physical destruction.
- Certificate and final report — you receive the per-serial certificate and a consolidated operation report.
The documentation you receive¶
| Document | What it proves |
|---|---|
| Per-serial-number certificate | Method applied, date and verification result for each device |
| Chain-of-custody record | The sealed containers' path from pickup to processing |
| Consolidated operation report | Full inventory, totals per method, and items routed to resale or recycling |
Fiscal and environmental documents applicable to each operation are defined in the proposal, according to the contracted scope.
LGPD, internal policies and ESG¶
Law No. 13,709/2018 (LGPD), under Article 16, requires deletion of personal data once processing ends. For the data controller, eliminating is not enough — you need to be able to demonstrate the elimination. The per-serial certificate is that demonstration.
The same package supports:
- internal information-security policies, which typically require a defined method and per-asset evidence;
- internal and external audits, which cross-check the retired-asset inventory against the certificates;
- sustainability (ESG) reporting, which records reuse, recycling and e-waste disposal.
Build the inventory before pickup
Cross-checking your asset inventory against the certified serial numbers is what turns disposal into auditable evidence. An item that leaves the company outside the inventory is an item without a certificate.
